Main challenges
- Relatively insufficient time for organization – first meeting with the bride March 2012, initially planned wedding date in June 2012.
- Both bride and groom working long hours and socially active.
- Wedding guests from outside of Sofia in need of transport and accommodation organization.
- Alcohol and soft drinks purchase and delivery on the wedding day.
How we solved them?
- Detailed project plan, which we tried to follow and effective task distribution and execution.
- Creation of vendors’ lists and description of the strengths and weaknesses. Personal meetings arranged after initial selection on the suggested vendors.
- Meetings preparation and execution in convenient times for the bride and groom – usually evenings and weekends.
- Negotiations with Park Hotel Moskva re: wedding guests’ accommodation. Establishing good rapport with the marketing department (in charge of accommodation). Intensive mail, phone, and personal communication re: guest lists, number of nights, and number of rooms needed.
- Change of the transportation mode a few days before the wedding day – we used a bus instead of the originally planned vans.
- Negotiations with several alcohol and soft drinks vendors and choice of a vendor who offered buy-back option for all the un-used bottles.
- Strict control on the wedding day by one of the Inanna agents.
